The Opportunity
This role goes far beyond traditional administrative support. You will act as an extension of the CEO, helping manage time, priorities, communication, and execution across multiple business streams.
You must be exceptionally organised, proactive, discreet, and commercially aware, with the confidence to manage stakeholders at all levels.
What You Will Do
Executive & Calendar Management
Own the CEO’s calendar, scheduling meetings across multiple time zones
Proactively manage priorities, resolve conflicts, and protect focus time
Prepare daily, weekly, and monthly schedules with clear objectives
Communication & Inbox Management
Manage the CEO’s inbox, triaging emails and drafting responses where appropriate
Act as a point of contact for internal leaders, partners, and external stakeholders
Ensure important messages are followed up on and closed out
Meeting & Preparation Support
Prepare agendas, briefing notes, and background context ahead of meetings
Take structured notes during key meetings and track action items
Follow up with stakeholders to ensure execution
Business & Personal Admin
Coordinate travel, accommodation, visas, and itineraries
Handle personal administrative tasks to free up the CEO's capacity
Maintain confidential documents and sensitive information
Execution & Special Projects
Support ad-hoc projects across consulting and SaaS initiatives
Coordinate across teams to keep initiatives moving forward
Identify inefficiencies and proactively improve CEO workflows
Requirements
5-7+ years of experience as a Personal Assistant, Executive Assistant, or Chief of Staff–type role
Experience supporting a senior executive in a fast-paced business
Exceptional organisational and time-management skills
High level of discretion, trust, and professionalism
Strong written and spoken English
Comfortable with ambiguity and changing priorities
